Single Source of Truth

A single source of truth is the agreed answer to the question "which system is right?" for a particular piece of information. Customer address comes from the accounts package. Job status comes from the job system. Contact details come from the CRM.

It sounds like a technical arrangement. It is mostly a decision, and it is the decision most businesses have never actually made.

The problem it solves

Without one, the same fact exists in several places and they disagree. Somebody updates an address in one system and not the others. Two reports produced from different sources give different totals and both are defended by the person who produced them. Time gets spent arguing about whose number is right rather than about what to do.

Worse, nobody trusts any of it enough to act. A business where the answer to "how much did we do with that client" depends on who you ask is a business making decisions on recollection.

What it does not mean

It does not mean one system for everything. That is a much larger and usually unnecessary project, and it is what people hear when the phrase is used.

It means one system per fact. Five systems can happily coexist as long as it is written down which one wins for each field. That is a document, not a migration.

How to establish one

Pick the facts that matter. Not every field. The ten or fifteen that appear in more than one place and that decisions depend on.

For each, name the system that wins. Deliberately, and write it down. The winner is usually whichever system the people who own that information actually work in, not the one management looks at.

Then make the others follow. Either they read from the source automatically, or people stop maintaining them. Connecting systems is the cheaper half; agreeing which one wins is the part that takes the meeting.

Clean the source. Whatever you nominate needs to deserve it, which is usually where the real work turns out to be.

Why it comes before anything else

Reporting, automation and AI all inherit whatever ambiguity sits underneath them. A dashboard built on contested data produces confidently wrong numbers faster. An AI system reading three contradictory versions of a policy will answer from whichever it happens to retrieve.

If you are planning any of those, the source of truth decision is not a preliminary. It is the thing that determines whether the rest works.
